About Product Hub

Product Hub is your central catalogue of the items your venue uses. See what you buy, where it comes from and what it currently costs — all in one place. Product Hub also connects your items to Menu Costing and Stocktake.

Availability: Product Hub is available on the Premium plan.

Understand items and mapped products

Product Hub separates the item you use from the products you buy to supply it.

TermWhat it means
ItemA general ingredient or supply your venue uses, such as Cherry Tomatoes or Extra Virgin Olive Oil. Each item has its own name and unit of measure and is not tied to one supplier.
Mapped product (source)A specific supplier product or pack linked to an item. You can map several products to one item, with one active source used for costing unless you choose to use the last ordered product.
Example: Your item might be “Cherry Tomatoes”, with two different suppliers’ tomato packs mapped to it. If you switch suppliers, you can change the source without rebuilding recipes that use the item.

Explore your Product Hub catalogue

Open Product Hub to see the items in your catalogue. Each row shows information to help you identify the item, its supplier products and whether it is ready to use in other features.

ColumnWhat it shows
ItemItem name and image from the most recently ordered source.
CategoryMarketplace category of the representative source.
Mapped ProductsHow many supplier or custom products are linked to the item.
Last Ordered ProductSupplier and pack size from your latest order.
Current PriceCurrent marketplace price, excluding tax.
Ingredient SetupA green tick means the item has the Menu Costing settings needed; a red cross means setup is incomplete.
Stocktake SetupA green tick means the item is configured for Stocktake; a red cross means it isn’t set up yet.

Manage an item

Select an item from the Product Hub table to open its details. You’ll find three areas:

Mapped Products

View the marketplace and custom products linked to the item. You can add a source with Map Products, remove a source with Unmap, reorder sources, mark a source as active and set how much of the item’s unit of measure is in each pack. You can also edit or delete custom products.

Menu Costing Settings

Configure the item’s unit of measure, wastage percentage, source quantities and active source. You can also enable Use last ordered product to base costing on your most recently purchased mapped product. Changes here flow through to Menu Costing.

Stocktake Settings

If Stocktake is enabled, configure the item for counting by choosing a counting unit and mapped products. Items already configured can be edited, subject to your permissions.

Note: Users without Manage Stocktake permission can view the stocktake summary but cannot edit it. An item used in an open stocktake sheet cannot be changed until that sheet closes.

Auto-create items from your order history

Rather than building your catalogue from scratch, you can use Product Hub → Auto-Create Items on desktop. The three-step wizard uses products you’ve ordered to suggest a catalogue you can review before saving.

  1. Normalise: The wizard groups different supplier product names into suggested general item names.
  2. Review and adjust: Rename, merge, split or remove suggested items so the catalogue reflects how your venue works.
  3. Save: Create the items and map their sources. If you’re setting up Menu Costing, you can also create corresponding ingredients; you’ll still need to set their units of measure.
Tip: Review the suggested groupings carefully before saving, particularly where similar products have different uses.

Connect Product Hub to Menu Costing

Product Hub manages what an item is and where it comes from. Menu Costing uses those items as ingredients to calculate recipe costs.

  • Look for the green Ingredient Setup tick when the unit of measure and at least one source quantity are configured.
  • In Menu Costing, use Show all Product Hub Items to see items without ingredients, and Missing Ingredients First to prioritise them.
  • Marketplace price changes flow through to recipes that use the item.
  • Changing the mapped source can update recipe costing without recreating the ingredient.
How costing selects a source: Normally, the active source drives costing. If Use last ordered product is enabled, the most recently ordered mapped product takes precedence.

Connect Product Hub to Stocktake

With Stocktake enabled, set up a Product Hub item as a stock item by selecting its counting unit and mapped products. Once configured, the item can be added to Stocktake Sheets.

The Stocktake Setup indicator in the Product Hub table helps you see which items are ready to count.

Good to know

Custom products

You can create and map products that your venue uses but doesn’t purchase through FoodByUs. Their prices are entered manually and won’t update automatically from marketplace pricing.

Custom units of measure

Open the Product Hub menu and choose Manage Custom Units to create measurement units specific to your venue. These can then be used in Menu Costing and Stocktake.

Multiple suppliers for one item

An item can have several mapped products. This makes it easier to switch sources when supplier availability or pricing changes while keeping the underlying item consistent.

FAQs

Do I need to create every item manually?

No. Use Auto-Create Items on desktop to build a suggested catalogue from products you’ve ordered, then review the suggestions before saving.

Can I link more than one supplier product to an item?

Yes. Map multiple products to an item and choose which source drives costing, or enable Use last ordered product.

Will a supplier change break my recipes?

Changing the mapped source generally keeps the item and recipes linked, so you don’t need to rebuild recipes just to switch suppliers.

Why is there a red cross under Ingredient Setup?

The item still needs its Menu Costing setup, including a unit of measure and at least one source quantity.

Why can’t I edit an item’s Stocktake Settings?

You may not have Manage Stocktake permission, or the item may be in an open stocktake sheet.

Do custom product prices update automatically?

No. Custom products use prices entered manually rather than live marketplace prices.
